Payment Follow-Up

The link was sent. The payment never came.

The fastest money in your business is an order that was already agreed. This chases it so nobody has to remember to.

Payment follow-up automatically chases payment links that were sent but never paid. 3xRetention sends a check-in after about three hours, a reminder after 24 hours, and a final message after 72 hours — each offering to help or to resend the link. It stops the instant payment arrives or the customer replies. For most businesses this is the first flow to produce money, because the customer had already decided to buy.

The cost of the problem

Money that was agreed, then forgotten

The order was confirmed. The price was accepted. The link went out on WhatsApp — and then the thread moved on under forty new chats.

An unpaid link is not a lost sale yet. It is money you have already won, waiting for someone to ask for it.

The leak

Everyone assumed somebody else was chasing it

Chasing an unpaid link needs someone watching a list of unpaid links. In most businesses that list does not exist, so most of them are never chased at all.

  2. PriceAccepted

  4. PaymentNever came

The first flow to produce money

It works on someone who already said yes. Nobody needs persuading — they need a working link at the right moment.

You see what is still outstanding

Outstanding payment links sit on your dashboard as one rupee figure — money already agreed and not yet collected.

What the dashboard reports

The flow

Three messages over three days, then it stops

Each message offers help or a fresh link. None of them nags.

The moment the payment lands, your gateway tells the agent and the flow ends.

    Always ends here

Payment follow-up flow: triggered when a payment link is sent and not paid. After 3 hours, a light check-in asking whether the link worked. After 24 hours, the link is resent with an alternative payment method and confirmation that the price and stock are held. After 72 hours, a final message saying the quote or stock hold is about to lapse, if that is true. The flow stops as soon as the customer pays or replies, and always ends after the third message.
Why this works

Why this flow
goes first

Three reasons it earns its place before any other flow, and one case where a person should take over instead.

Every other retention flow works on someone who might buy. This one works on someone who already said yes. The order was agreed, the price was accepted, the link was sent — and then something interrupted them. A meeting, a low balance, a payment page that timed out, a phone that died.

Nobody chases these, because chasing them requires somebody to be watching a list that does not exist. That is why this is usually the first flow we turn on, and usually the first one to pay for the subscription.

  • Already agreed
  • Already priced
  • Link already sent

The first message asks whether the link worked. The second resends it and offers another way to pay. Only the last one says the quote or stock hold is about to lapse — and only when that is true.

  • Did the link work?
  • Another way to pay
  • Honest deadline

Your payment gateway reports each payment back in real time. The flow stops the moment the money arrives, so nobody gets a reminder for a link they paid ten minutes ago.

For B2B, a fourth step can escalate to a human at day five — for a large order, a phone call from a person is worth more than a fourth message.

Questions

Questions about payment follow-up

Through your payment gateway. Razorpay, Cashfree, PayU and Stripe all report payment status back in real time, so the agent knows within seconds of a payment landing and stops the flow immediately.

The tone is help rather than chase — the first message assumes the link did not work rather than that the customer changed their mind. Three messages over three days is well inside what B2B buyers expect. And it stops the moment they reply, even if they have not paid.

Yes. Exclude specific accounts, or set a value threshold above which a person handles it instead. Many businesses exclude their largest accounts and handle those with a phone call.

Partly. It tracks outstanding invoices and chases overdue payments on a schedule you set. It does not make credit decisions and it does not decide who gets terms — that stays with you.
